Your team enters the same data into three systems. Here's how to stop.
A sale is entered in the CRM, then in the accounting tool, then in the operations spreadsheet, then in the weekly report. Each copy is a chance for a typo, a delay or a missing record. Disconnected systems are one of the most common — and most fixable — problems in a growing business.

Why it happens
Each tool was bought at a different time, by a different team, to solve a different problem. None were chosen with the others in mind. The connection between them became a person — someone who copies data from one to the next.
What it really costs
The obvious cost is time. The bigger costs are often hidden:
- Errors that reach customers — wrong prices, wrong addresses, missed orders
- Delays while work waits for someone to re-enter it
- Reports nobody trusts, because each system says something different
- A dependency on the few people who know how the copying works
Four ways to connect your systems
Native integrations: many tools connect out of the box. Check what your existing software already supports — this is the cheapest fix and it's often overlooked.
Automation platforms: tools like Zapier, Make, n8n and Power Automate move data between systems when something happens. Great for simple, moderate-volume flows.
Custom integrations: code that connects systems through their APIs, with proper error handling and monitoring. Best for high volume, complex rules or sensitive data.
A central system: when several tools all hold pieces of the same picture, sometimes the right answer is one system of record that the others feed from.
Decide which system owns which data
Before connecting anything, agree on one 'source of truth' for each type of data — customers in the CRM, invoices in accounting, stock in inventory. Data is entered once, in its home system, and flows from there. Skipping this step is how integrations end up copying mistakes faster.

A simple automation can be live in days. A robust custom integration with error handling and monitoring usually takes a few weeks.
